A globally recognised luxury business is seeking an exceptional Office Manager to be the anchor of its Paris headquarters — the person who ensures the office looks, feels, and runs to the standard the brand demands, before anyone has to ask.

The Role

This is a hands-on, in-office individual contributor role reporting cross-functionally to the COO and Business Manager. The standard is straightforward: if we have to ask, the job did not get done. The right person anticipates — they see what the office needs before anyone else does and they handle it quietly, well, and on brand. From immaculate facilities and seamless client hospitality to vendor management and team events, you will own the full physical and experiential environment of a 40-person luxury office. You will bring genuine warmth and polish to every interaction, and carry the brand presence with you at every moment. Responsibilities

  • Maintain the office to an impeccable standard at all times — clean, polished, organised, and on brand; walk the space multiple times daily and notice what others do not
  • Ensure bathrooms are always immaculate and fully stocked; kitchen always replenished with coffee, tea, water, fresh fruit, and team essentials — never let it run empty
  • Reset meeting rooms between sessions — clean, stocked, AV ready, refreshments in place
  • Keep flowers, plants, and seasonal touches fresh; ensure all common areas, entry, lounge, and showroom spaces are always camera-ready
  • Maintain order in sample closets and the showroom: organised, labelled, accessible, and presentable at all times
  • Manage all procurement: groceries, office supplies, kitchen and bathroom supplies, printer consumables — building a reliable replenishment rhythm so the office never runs short
  • Own vendor relationships — cleaners, caterers, florists, couriers, building maintenance, plant maintenance — holding all suppliers to the required standard and replacing them when standards slip
  • Welcome every visitor with warmth and polish: clients, partners, journalists, VIPs, candidates, and international colleagues
  • Coordinate hospitality details for all visits: refreshments, room readiness, transitions, and send-offs
  • Plan and execute team events: birthdays, work anniversaries, new hire welcomes, seasonal celebrations, team meals, and offsites
  • Provide light executive support to the COO, Business Manager, and senior leadership: travel coordination, meeting setup, and ad hoc assistance
  • Ensure new hires have an exceptional first day — desk ready, equipment in place, building access set up, and lunch organised
  • Act as local point of contact for facilities issues, basic IT coordination, building access, and landlord relations
  • Handle all incoming and outgoing mail, packages, samples, and courier logistics
  • Serve as the Paris contact for visiting international colleagues, anticipating their needs before they arrive

Requirements

  • 5–8 years of office management, hospitality, executive assistance, or front-of-house experience at a luxury, premium, or design-led organisation — luxury brand, five-star hotel, private members club, or top-tier professional services firm
  • Demonstrated ability to anticipate and handle without being asked — specific examples will be explored at interview
  • Genuine warmth, polish, and brand presence — this is a core part of the role, not an added quality
  • Hands-on, action-oriented style — happiest moving and doing rather than behind a desk
  • Strong vendor management experience: able to negotiate, hold standards, and make supplier decisions
  • Comfortable with technology: Microsoft 365 or Google Workspace, travel and expense platforms, basic IT troubleshooting, and modern AV
  • Working knowledge of French workplace logistics and standard office administration
  • Exceptional attention to detail — dust, fingerprints, empty trays, scuffed samples, anything out of place are things you notice and fix immediately
  • Absolute discretion — you will be present for senior conversations and confidential information
  • Fluent professional French and English — both required
  • Full-time, in-office availability in Paris
  • Experience in luxury fashion, beauty, hospitality, or design environments where polish is non-negotiable is strongly preferred
